Retention cut-offs for board packs

Board packs linger in inboxes long after meetings end. A simple cut-off keeps the archive intentional.

Many company secretaries keep every historical pack “just in case.” The result is a thicket of outdated figures sitting in personal mailboxes and shared folders.

A workable cut-off might read: working copies remain available until minutes are signed; thereafter only the official archive copy stays, under the secretary’s custody. Directors receive a read-only link for the meeting window and are asked not to download personal archives.

The rule is modest, yet it removes dozens of forgotten copies. Pair it with a short briefing so directors understand why the old attachment habit closed.
