Refund and cancellation policy
These rules apply to advisory engagements with File Meadowpath (Pty) Ltd, including process design, assessments, drafting, and briefings.
Eligibility
Refunds relate to fees paid for engagements that have not been fully delivered. Informational website rates and unconfirmed enquiries do not create refundable charges.
Deposits
A 30% deposit confirms calendar dates. Deposits are refundable in full if we cancel. If you cancel more than ten business days before the agreed start, we refund the deposit less a R750 administration fee. Cancellations inside ten business days forfeit the deposit unless we can rebook another client into the same window.
Timeframe for requests
Submit refund requests in writing to hello@file-meadowpath.click within fourteen days of the event giving rise to the request (cancellation, material non-delivery, or agreed partial stop).
Full or partial refunds
If we have not started discovery interviews, unused fees after a permitted cancellation are refundable. If work has started, we invoice for completed stages (discovery, mapping, drafting, briefing) and refund any unused prepaid balance. Materials already purchased for your briefing packs are non-refundable once ordered.

- Completed interview days and delivered document packs
- Staff briefings already facilitated
- Third-party venue or printing costs authorised by you
Rescheduling and no-shows
You may reschedule once without charge with at least five business days’ notice. Later reschedules may attract a R1 200 calendar fee. If key custodians fail to attend booked sessions without notice, that day is treated as delivered.
Processing
