What custodians say after the path is written

These notes come from organisations that asked us to redesign how sensitive files move between desks, partners, and archives.

“They mapped every hand-off of our monthly board packs before touching a single policy document. The resulting path cut out three unnecessary email chains we had lived with for years.”

Lebo Mokoena · Company secretary, regional logistics firm
Engagement: Secure file-sharing process design

“The workshop felt practical rather than theoretical. Staff left knowing exactly who may place a file where, and who must never open the shared folder for client contracts.”

Priya Naidoo · Operations lead, Overberg professional practice
Engagement: Staff handling briefing

“I would have preferred a shorter discovery week — our calendar was already crowded — yet the written process chart still saved us from repeating the same transfer mistakes each quarter-end.”

Johan van Wyk · Finance director, Cape Agulhas manufacturer
Engagement: File transfer risk assessment

“Our external auditors asked how we move sensitive payroll files. For the first time we could show a dated process sheet with named custodians instead of verbal habits.”

Naledi Dube · HR manager, Western Cape retailer
Engagement: Policy and procedure drafting

Extended note: quarterly board pack path

A regional logistics firm asked us to stop board packs circulating as personal email attachments. Over three weeks we interviewed the company secretary, PA pool, and finance lead; mapped seven informal shortcuts; and designed a single custodial upload with a read-only distribution list and a retention cut-off after the meeting minutes were signed.

The mild friction: two directors initially preferred the old attachment habit. A fifteen-minute briefing with a printed checklist settled the change before the next cycle.
